    Summary:  Serves as the HOA manager for the General Manager in the duties of specifically overseeing HOA management operations for all Homeowners Associations managed by Simply Steamboat. Additionally, the Assistant General Manager assists with the overall operation of Simply Steamboat including the rental program. Coordinates projects on behalf of the HOA and manages tasks and budget according to company standards.    

    Responsible for all HOA management including Board member relations, HOA owner relations, governance, recording and posting meeting minutes, compliance, enforcement, preparation of annual budgets, reporting of financial, project management, preparation & execution of Board & annual meetings, and vendor agreements / contracts.  

    Essential Duties and Responsibilities

    • Act as the primary point of contact for Simply Steamboat HOA Board members and owners. 
    • Continuously pursue proactive ways to keep associations informed and aware of matters pertaining to their investment.
    • Orchestrate, schedule, and facilitate association Board and annual meetings, prepare meeting packets, act as a subject matter expert when appropriate, be responsible for the taking of minutes, and distribute minutes to association members.
    • Complete understanding and knowledge of all HOA governing documents and management agreements. 
    • Fields questions from owners regarding all HOA Governing Documents 
    • Enforcement of Rules & Regulations.
    • Oversees all HOA rules violations and communication to violator and the Board per local legislation guidelines.
    • Educate Board members and owners about the declarations, articles of incorporation, by-laws and rules and regulations of their particular property.
    • Update and maintain association records such as reports, minutes, declarations, articles of incorporation, by-laws and rules and regulations in the appropriate HOA software. 
    • Manage HOA financial records which includes, preparation of budgets, validate postings against budgetary line items, and quarterly or monthly financial statement preparation for presentation to the boards.
    • Review and coding of all HOA related invoices to the correct general ledger accounts for appropriate posting. Reviews and codes all credit card receipt purchases according to company standards.
    • Coordinates and documents HOA property walks and reports to the various HOA Boards.
    • Review of property work orders bi-monthly for accuracy and variances that may need adjustment.
    • Visit each HOA property once per week to ensure that all common areas are in acceptable condition, report any issues to the housekeeping manager as well as suggest improvements for future capital reserve projects to be presented at association Board meetings. 
    • Prepare RFP’s and arrange contractors for all reserve and capital improvement projects. Monitor and report to the Board on the progress of each project. Address problems in quality or safety, inspect projects for final release and coordinate with appropriate departments including reservations when necessary.
    • Assists HOA Boards in the capital project process, exploring bids, contacting vendors, and inspecting work.
    • Employs or contracts for services of, security, maintenance and groundskeeping personnel and onsite caretaking personnel if required.
    • Report and monitor through completion emergency repairs in individual units and common elements to the HOA Board and HOA owners. Communicate with the maintenance department regarding the status of a repair and keep the Board or Owner informed throughout the process.
    • Act as a liaison with realtors and provide them with information pertinent to the selling of condos managed by company.
    • Discusses with potential and existing clients, terms and conditions for providing management services and draft agreements stipulating extent and scope of management responsibilities, services to be performed and costs for services.
    • Delegates relevant HOA tasks to the maintenance, housekeeping, and/or guest service department heads.
    • Assist General Manager in holding department heads accountable for responsible items and following up on key accountabilities.
    • Assists General Manager with performance evaluations for department heads.
    • Assists General Manager in compliance with company policies, organizing monthly company staff meetings and company events such as end of season celebrations and going away parties for staff.   
    • Assists General Manager in oversight of processes and procedures to ensure the safety of employees, homeowners and guests on or around company’s properties. 
    • Stays informed regarding the operations and current issues of the rental management program.
    • Works to ensure that the services provided to our homeowners associations by all departments meet our first class standards and is credible.
    • Adheres to and exhibits a high-level customer service standard both internally and externally.
    • Keeps General Manager informed of all issues / problems pertaining to staff, owners, guests, and property.
    • Communicates to relevant members within the company, along with the maintenance department, regarding capital and long-term maintenance or improvement projects at properties while keeping homeowners and/or associations informed throughout the process. 
    • Monitor and stay informed regarding the operations and current issues of the association the company represents.  
    • Inform department heads and General Manager when quality standards are not being met.  
    • Must maintain a good driving record to the satisfaction of our insurance company, to drive for company business.
    • Other duties may be assigned as necessary to fit the business needs of the company.

    Directly supervises 4 to 10 employees in the Maintenance Department. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include hiring & training employees. Planning, assigning, and directing work; appraising performance; addressing complaints and resolving problems.

The employee is frequently exposed to work near moving mechanical parts and toxic or caustic chemicals.
