    We are seeking a Seasonal Guest Service Supervisor to provide support in training and shift supervising Guest Service Agents at our core front desk. This position is responsible for ensuring processes and procedures in front office operations are being upheld and completed timely by staff in order for our team to deliver exceptional hospitality and guest experiences.

    Summary: Provides training and mentoring to accounting team to enter financial data, AR, AP, completes monthly financial processes and produces monthly financial reporting and analyses.   Assists Director in establishing procedures and processes to support the overall success of the accounting division.

    Essential Duties and Responsibilities include the following.  Other duties may be assigned.  

    Provides training for accounting department employees and association managers for jobs pertaining to accounting.

    Provides leadership to accounting team. In the absence of the Director and HOA Manager, make decisions regarding HOA client and Operation transactions.

    Understands GAAP and applies the principals when making decisions on financial transactions and financial statement preparation.

    Maintains a portfolio of associations in order to meet critical deadlines and requests.

    Review invoices, financials, budgets and other work product created by team members. 

    Provide direction on workflow to lower-level staff including directing them on posting transactions, deadlines, and priorities acting as lead accountant for the team.

    Supervises and participates in the preparation of various financial statements and reports for operational companies

    Directs and participates in the installation and maintenance of accounting records to show receipts and expenditures.

    Directs and participates in cost analyses and rate studies.

    Prepares statements and reports of estimated future costs and revenues.

    Approve and produce financials for their portfolio of HOA’s.

    Reviews financial statements with management personnel

    Review and process AP, AR, journal entries, and financial statement reconciliation.  Completes general ledger reconciliations, producing variance analyses against budgets, cash flow forecasting, reporting and preparing reports for management and external parties. 

    Review financials and perform EOM audits of all Balance Sheet accounts (internal audit of books to ensure accuracy and performance of accounting department). 

    Review ACH files for accuracy and upload to the various banking institutions. Process transfer request to maintain minimum balance and liquidity requirements.

    Proactively seeks ways to keep Association Managers informed on the owners’ statements and on HOA’s financial, banking, collections, and/or lien processes or status.

    Review and signs estoppels for real estate transaction. Maintain ownership information including setting up new owner, inactivating old owners, processing new owner accounts for special assessments.

    Review and prepare budget shells and enter approved budgets into system.

    Participates in HOA meetings, as the financial representative, in event there are questions related to the financials or capital accounts as assigned

    Coordinates preparation of external audit materials and external financial reporting.

    Review and prepares monthly/quarterly owner statements. Works with manager for monthly collection letters as necessary.

    Review and produce annual 1099 tax filings and assist with tax prep as assigned.

    Assists with related special projects, as required.

    Back up all accounting duties as needed for time off or heavy volume.

    Essential Duties:   

      

    * Overall management and successful operation of the condominium or homeowner associations in accordance with the objectives of management, condominium documents and condominium Board of Directors.

    This position assists the Housekeeping Manager or Director with the oversight and management to ensure cleanliness and high standards in all units. This includes following up on maintenance requests and inspecting each arrival. You will assist with daily task scheduling and mentoring staff. The Housekeeping Supervisor works alongside their crew daily to train and actively clean to meet daily deadlines. During shoulder seasons, the Housekeeping Supervisor may be the primary staff to perform cleans, checks, and deep cleans.  

    The successful candidate will have supervisory experience, hospitality housekeeping experience, and will provide that can-do attitude to inspire others to strive for high performance and embrace hard work.

    Works with and reports to Housekeeping Management.

Assures adherence to management company policies and established operating and safety procedures.

    Ensures each housekeeper’s daily schedule will be met and assists with actual cleaning as needed.

    Drives housekeeping team to and from properties.

    Delivers needed supplies to housekeepers and properties throughout day as necessary. Performs as needed common area cleaning and supervision of common area cleaning. Re-schedules or re-adjusts team workload between team members, as necessary daily. Sorts, counts, folds, marks, carries linens and towels.

    Monitors inventory and supplies in and around various properties.

    Summary: Supervises and coordinates activities of workers engaged in maintaining and repairing physical structures of buildings and grounds by performing the following duties. 

      

    Essential Duties and Responsibilities include the following. Other duties may be assigned. 

    Responsible for quality control of work done within zone. 

    Responsible for proofing time sheets to ensure data is honest, accurate and turned in promptly. 

    Takes initiative to identify future projects and needs. 

    Responsible for updates to owner liaisons and directors on projects and major tasks. 

     Maintains HOA building plan archives. 

     Assist with new employee. 

     Assist with new employee recruiting and on-boarding. 

    Assist with employee staff discipline and personal record keeping. 

    Works to maintain HOA budgets. 

    Must demonstrate sufficient mastery of software to be able to teach work order and time keeping to new employees.   

    Coordinates purchase of uniforms.   

    Maintains automotive records for department.   

    Attends and speaks on behalf of the department at HOA and board meeting. 

    Enforces safety policies.   

    Inspects properties and identifies needed projects.   

    Provides updates to HOAs and upper management.   

    Oversees Maintenance department.   

    Responsible for hiring and training of Maintenance Leads.   

    Coordinates with VP of Operations to achieve HOA goals.   

    Develops long term goals for department.   

    Responsible for department budget.   

    Ensures that company policies are being adhered to.   

    Promotes a culture of safety.   

    Approves PTO request for all maintenance staff.   

    Directs workers engaged in cleaning, painting and performing structural repairs to masonry, woodwork, hardware and furnishings of buildings and units.   

    Directs workers engaged in ground maintenance activities, such as snow removal, mowing lawns, trimming hedges, removing weeds, and raking and disposing of leaves and refuse.   

    Hires quality employees, trains, and actively participates in planning, assigning, and directing work; appraising performance; addressing complaints and resolving problems.   

    Assigns, prioritizes and ensures all work orders are satisfactorily completed. Will prioritize work orders in order of importance before assigning to staff, while maintaining the priority of larger, on-going projects.   

    Maintain a pleasant and efficient working atmosphere with all staff members through open lines of communications.   

    Develops and implements training procedures to assure development and retention of a quality work force, and to ensure health and safety protocols are followed by all staff. This includes initial training and orientation for new staff, as well as ongoing training for experienced staff.   

    Maintains high quality standards for the buildings, grounds and mechanical plants, ensuring that public areas, rental units, buildings and grounds meet first class standards at all times.   

    Coordinate a preventative maintenance program to ensure that each property and unit is kept in excellent shape.   

    Take property inspections on a regular basis to assure quality of work being completed.   

    Implement a system to alert owners and Owner Liaisons/General Managers of potential problems that might arise.    

    Build and maintain a working relationship with vendors to achieve optimal service levels in daily and emergency situations   

    Requisitions, tracks, & maintain tools, equipment and supplies for department.     

    Tracks and maintains sufficient supply inventories for maintenance work orders and unit materials.   

    Inspects completed work for conformance to reasonable specifications and standards.   

    Studies production schedules and estimates worker hour requirements for completion of work orders (job assignment).   

    Interprets company policies to workers, monitors and enforces safety regulations.   

    Establishes or adjusts work procedures to meet production schedules, while never sacrificing safety.   

    Suggests changes in working conditions and use of equipment to increase efficiency of work crew.   

    Analyzes and resolves work problems or assists workers in solving work problems.   

    Initiates or suggests plans to motivate workers to achieve work goals. 

      

    Maintains time and production records and inputs data into our Work Order Module in TRACK software. Ensures these records are maintained on a daily basis, legible and consistent with work order billing. Work orders shall be organized and include all materials and information necessary for accurate billing. 

    Performs activities of workers supervised.   

    Must maintain a satisfactory driving record and valid drivers license in order to comply with our insurance requirements of non-livery drivers.   

    Drives to and from properties in a safe and lawful manner. Always being mindful of safety and adherence to the rules of the road.
